How to Know the Total Storage Used in Egnyte?

This guide will help you find the total storage used in your Egnyte domain, as well as the total size and file count of any specific folder (such as /Shared or /Private) using Egnyte's built-in Folder Size Report.

Note: You must be an Egnyte Administrator to access the Reports section and generate storage reports.

Here are the steps to find the storage used in Egnyte:

Step 1: Log in to Egnyte

Go to your Egnyte domain (e.g., yourcompany.egnyte.com) and log in with your administrator account. You will land on the Egnyte web interface, where all Shared and Private folders can be accessed from the Files section in the left navigation menu.

Step 2: Check the Overall Domain Storage

From the left navigation menu, select Reports. The Dashboard opens with the Storage tab selected, showing the total storage summary of your domain, including:

  • Purchased Storage – the total storage capacity of the domain.
  • Used Storage – the total space consumed, with a breakdown of Shared, Private, and Trash.
  • File Count, Version Count, and Folder Count – the total number of items in the domain.
  • Folder Path – the folder the report was generated for.
  • Files Total Size and File Count – the total storage used by the files and the number of files.
  • Versions Total Size and Version Count – the storage consumed by file versions.
  • Folder Count – the total number of subfolders.

        Step 3: Open the Folder Size Report

        To find the storage used by a specific folder and its subfolders, expand Folders and Files in the Reports menu and select Folder Size Report. This report exports the total size and count of files in a selected folder and all of its subfolders.

        Step 4: Select the Folder to Report On

        Choose the report scope from the Report drop-down, then select the folder you want to analyze — for example, the Shared folder for all shared content, or All Private Folders for users' private data. The selected folder path is displayed above the folder tree.

        Step 5: Submit the Report Request

        Click the Submit button at the bottom-right corner of the page to start generating the report.

        Step 6: Wait for the Report to Generate

        A confirmation dialog appears indicating that the report is being generated. This can take a couple of minutes. Once generated, the report is saved to the following folder: /Shared/Egnyte Reports/Folder Size. Click Open report destination folder to go there directly, or Close to continue working.

        Step 7: Locate the Generated Report

        Navigate to Shared → Egnyte Reports → Folder Size. The report is saved as a CSV file named with the generation date and time (e.g., folder_size_19-07-26_13-26-45.csv). The most recent report appears at the top of the list.

        Step 8: Download the Report

        Click the CSV file to open the preview, then click the Download icon in the toolbar to save the report to your computer.

        Step 9: Open the Report and Review the Storage Details

        Open the downloaded CSV file in Microsoft Excel or any spreadsheet application. The report contains the complete storage details of the selected folder, including:

                You have now found the total storage used in your Egnyte domain and the detailed size of any specific folder using the Folder Size Report.
